Meeting called to order at: 6:00 pm
Acknowledgment of Indigenous lands – Saanich Neighbourhood Place Board Chair, Colin Nicol provided a territorial acknowledgement.
Welcome – Colin Nicol welcomed all SNP members and explained how the Annual General Meeting would proceed.
Message from Colin Nicol, Chair of Annual General Meeting:
Colin’s message included a month-by-month highlight of events during the last fiscal year:
April 2019 – we hired our first Finance Manager, Kirsten Odermatt
May 2019 – Corinne Bains started as Executive Director
July 2019 – the board made the decision to return $325,000 in BC Government funding for the Child Care Hub in order to apply for a $1.5 million grant
August 2019 – the lease for the site of the Child Care Hub was approved by Saanich
September 2019 – a pipe burst flooding the library and part of SNP so programs had to be suspended
November 2019 – we obtained more office space from Saanich
December 2019 – YSPN closed down and we took over their programs and staff
February 2020 – we received approval for a $1.5 million grant from the BC government to build the Child Care facility!
March 2020 – the staff held a retreat and then SNP had to be shut down due to COVID.
Approval of Minutes from 2018-2019 AGM – Colin Nicol
Erin Holler moved to accept minutes from 2018/2019 AGM, seconded by Gillian Larsen – motion passed
Presentation and approval of Financial Statements – Dotan Amit
Dotan moved to accept 2019/2020 Year End Financials as presented. Gillian seconded – motion passed.
Appointment of Auditors:
Dotan moved to accept Grant Thornton to be SNP auditors for the 2020/2021 year. Marian seconded – motion passed.
Presentation of the Annual Report – Corinne Bains, Executive Director
Highlights:
Programing at Pearkes location went well because of its consistency.
Royal Oak Neighbourhood Place (RONP) saw a lot of growth especially in programs for young families.
Food security continued to be an important part of our programming.
Finances have remained strong thanks to support from a number of funding opportunities.
We have valued successful collaboration with the Coalition of Neighbourhood Houses.

Corinne thanked the SNP staff, management and board for their hard work this very successful year.

Election of the Board of Directors for Saanich Neighbourhood Place for 2020 -2021
“Agencies such as Saanich Neighbourhood Place are governed by a board of directors. This board of directors represents a diverse group of people who are willing to give of their time and energy in a volunteer capacity so that the Executive Director and all the staff at SNP can focus on providing the amazing services that they do. The process to becoming a board member includes contact with either the Chair of the Board or with Corinne Bains, Executive Director. There is a process by which board members are vetted and anyone who is interested can contact the above noted people. One of the duties of the members of SNP, that is all of you sitting here tonight, is to elect a board. SNP bylaws provide that the board establish the election procedures. To ensure that the board has a balance of skills, knowledge and experience that supports the increasing size and complexity of Saanich Neighbourhood Place, the directors are proposing a slate of members to constitute the board for election. I will be presenting a slate of directors to be considered for election at this time. They are as follows:

• Dotan Amit,
• Gillian Larsen,
• Erin Holler,
• Mark deMedeiros
• Marian DeMonye
Erin moved that the slate of board members be accepted as presented, Mark seconded – motion carried.

Presentation and approval of Financial Statements – Dotan Amit
- 2019/2020 had a year-end excess of revenues over expenditures of $14,911, or approximately 70% less than the year-end for 2018/19.
- The main drivers of the lesser surplus, when compared to the previous year, was less grant funding received and increased payroll expenses needed to maintain staff compensation at market rates.
- The Finance Committee expressed its belief that SNP’s success in achieving the $14,911 surplus amidst the economic disruption caused by COVID-19 is a reflection of the organization’s strength in financial management and oversight.
- The Finance Committee noted that SNP’s 2019/20 Statement of Financial Position reflects an 82% or $842,205 increase in net assets compared to 2018/19. This driven primarily by an increase in restricted cash and long-term liabilities associated with the Child Care Hub construction.
